We are the “data controller” for the personal information described in this policy, meaning we decide how and why it’s used.
2. What Information We Collect
We collect information in the following ways:
- When you contact us (via our website contact form, phone, email or WhatsApp): your name, email address, phone number, and the content of your message or enquiry.
- When you book a shipment: your name, address, contact details, and details of the parcel or shipment, along with the recipient’s name and address at the destination.
- When you track a parcel on our website: the tracking/invoice number you enter, so we can look up and display your shipment status.
- Automatically, when you browse our website: basic technical information such as your browser type and general usage of the site, via standard web server logs. We do not currently use advertising or analytics cookies; if this changes, this policy will be updated and, where required, we will ask for your consent.
We do not knowingly collect payment card details through our website — payments are handled directly, in person, by phone, or via bank transfer.
3. How We Use Your Information
We use your information to:
- Respond to your enquiries and provide quotes;
- Arrange collection, processing, customs clearance and delivery of your shipment;
- Provide tracking updates on your shipment;
- Communicate with you about your booking (e.g. by phone, email or WhatsApp);
- Meet our legal and regulatory obligations (for example, customs declarations);
- Improve our services and website.
We do not sell your personal information to third parties, and we do not use it for marketing without your consent.
4. Our Legal Basis for Using Your Information
Under UK data protection law, we rely on the following legal bases:
- Contract — to arrange and deliver the shipping service you’ve asked for.
- Legitimate interests — to respond to enquiries, keep records, and operate and improve our business.
- Legal obligation — to comply with customs, tax and other regulatory requirements.
- Consent — where we ask for it specifically, for example for optional marketing communications.
5. Who We Share Your Information With
To deliver your shipment, we may need to share relevant details (such as sender/recipient name, address and contact number) with:
- Shipping lines, airlines and freight partners who physically move your parcel;
- Our overseas distribution partners and agents in Pakistan, India, Azad Kashmir and other destination countries, who carry out final local delivery;
- Customs authorities in the UK and destination countries, as legally required;
- IT and hosting providers who support our website and systems, under appropriate confidentiality terms.
International transfers: Because our service involves shipping to countries outside the UK, your (or your parcel recipient’s) personal details will necessarily be transferred to and processed in the destination country by our local partners there, for the purpose of completing delivery. We take reasonable steps to work only with partners who handle this information appropriately.
We do not share your information with third parties for their own marketing purposes.
6. How Long We Keep Your Information
We keep personal information only for as long as necessary:
- Enquiry and contact form data is generally kept for 12 months ( 1 Year ) unless a booking results, in which case it’s kept as part of your shipment records.
- Shipment and booking records are generally kept for 24 Months ( 2 years ) to meet accounting, customs and legal obligations.
7. Your Rights
Under UK GDPR, you have the right to:
- Ask what personal information we hold about you, and get a copy of it (right of access);
- Ask us to correct inaccurate information (right to rectification);
- Ask us to delete your information, where we’re not legally required to keep it (right to erasure);
- Ask us to restrict or object to certain processing;
- Request your data in a portable format, where applicable.
To exercise any of these rights, contact us at info@indopakcargoservices.co.uk. If you’re not satisfied with how we’ve handled your information, you also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO), at ico.org.uk.
8. Cookies
Our website may use essential cookies needed for the site to function correctly (for example, to remember your form submissions on the tracking page). We do not currently use tracking, advertising or analytics cookies. Our website may load fonts from Google Fonts and, if you click our WhatsApp link, you will leave our site and be subject to WhatsApp’s own privacy policy — we encourage you to review it.
9. Security
We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
10. Children’s Privacy
Our services are intended for adults arranging shipments, and we do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this privacy policy from time to time, for example to reflect changes in our services or the law. The “last updated” date at the top of this page will show when it was last revised.
